VIRTUAL OFFICE/AUTO ATTENDANT
The Automated Attendant
You've called one before, you just may have not realized what
it was. It went something like this:
"Thank you for calling Acme Corporation. If you know your
parties extension, please enter it now or choose one of the following:
For Sales, press 1, for Service press 2..." and so on. The
system then routed your call based on the buttons you did or didn't
press.
Some of the other things it allowed you to do may have been:
Transfer to an Operator.
Access a personnel directory.
Listen to other audio information about the company.
Retrieve Database information such as Account Balance or
Order status
There were also some things the system did for the person you
were calling which you couldn't see:
Allowed them to accept or reject the call before speaking
to you. (Don't feel too bad!)
Notified them when a message was left either by pager or
voice call.
Transferred calls or triggered notification based on a schedule.
Let them send the call to an alternate extension.
Capture the Caller ID
In the past, for a business to have this level of telephone sophistication,
it usually required an intelligent telephone system and voicemail/auto
attendant equipment in-house. This, of course, means a significant
investment. But the system could only direct calls to telephones
which were connected to that phone system.
With Diamond Voice Virtual Office, you have all this plus the
ability to have callers transferred to any local or 800 telephone
number. You can have the power and the convenience of a full
scale Call-Processing system at a fraction of the cost. More
importantly, you can have the image and impressive sound of
a large corporation without even having corporate offices. The
building blocks of the Virtual Office service are:
Mailbox- Plays greeting, takes a message,
transfers call, triggers notification.
Menu Option - Plays greeting, receives touch-tone
input, routes call based on input or other criteria such as
call number or time of day. These can be linked together in
a "menu-tree" to give multiple options for various
departments.
Call Transfer - Available in two flavors:
Blind - Transfers caller to the specified
telephone number and releases the call.
Monitored - Waits to see if the transferred call is
answered or if the line is busy. If busy or no answer, caller
is returned to the mailbox greeting and allowed to leave a
message or make another choice.
Message Notification - Also
has three options:
Email - Notification is sent to up to 3 email addresses
of your choice. This can include the audio message as a WAV
file attachment.
Pager - The mailbox number is sent to the pager alerting
the owner of a message waiting. This can be scheduled.
Voice Call - The mailbox dials a specified telephone
number and plays a message asking the owner of the mailbox
to enter a passcode for immediate access to messages. This
feature can dial up to 5 different numbers and/or pagers at
various times and intervals.
With these 4 features, you can design a Virtual Assistant that
exactly meets your requirements. Whether a retail store trying
to manage call flow, a sales group always on the road or a new
business with an image to project, the Virtual Assistant is versatile
and cost-effective. |
